A lead that never goes quiet.
From the first enquiry to a signed quotation, on one record. It chases the ones going cold — and it knows to stop the moment somebody answers.

The campaign, the ad and the form answers come across with it, so the source is on the record before anybody opens it.
Four ways in. One record out.
However a lead reaches you, it lands in the same shape — owner, source, conversation and follow-up dates — so nothing depends on which door it came through.
Facebook & Instagram lead adsNeeds setup on Meta
A form submission becomes a lead with the campaign, the ad and the answers already on it — and an owner, a follow-up plan and a notification to that owner.
A WhatsApp message
Somebody messaging your business number can open a lead by itself, with the conversation attached to it from the first line.
A spreadsheet you already have
Import a CSV and the whole list is distributed across the team by your assignment rules in one pass, rather than one row at a time.
A rep typing it in
The ordinary case, and the one most products get wrong: a lead you record yourself stays yours unless you hand it over.
Every lead has a name against it.
Not a queue everyone can see and nobody owns. Assignment happens at the moment the lead appears, by rules you set once.
Yours by default
A lead you record on the form is owned by you, with the rules offered as a choice on that same form — not applied behind your back.
Round-robin or by workload
For leads that arrive on their own, the next rep in turn takes it — or the one carrying the least, with ties still rotating so one person cannot become the default.
Never unowned
An ad lead, an import and a WhatsApp enquiry all pick up an owner on arrival, and that person is told. An unassigned lead is the one nobody chases.
And who may see it
Reps can be scoped to the leads they own; managers see the pipeline. The same rules decide the numbers on the analytics page, so a count can never show what a row would not.
The thread survives the rep who started it.
Messages sit on the customer's record rather than in an individual's app. When somebody is on leave, or leaves, the history is still there for whoever picks it up.
Chat on the lead, not on a phone in somebody’s pocket.
Facebook DMs
Page messages reach the same inbox.
Instagram DMs
Same, for the account your ads run from.
Email replies
A customer’s reply lands on the lead’s own timeline.

Every message above is on the lead — three channels, one timeline.
It chases them. Then it knows to stop.
Most solar deals are lost to silence rather than to a competitor. A sequence keeps the conversation alive on WhatsApp — inside rules you would set yourself.
A new lead arrives
Introduce yourself the same day, every time.
A lead goes quiet
Nudge it after the number of days you choose.
Approved templates only
Automated messages use templates WhatsApp has approved. No free text goes out unattended.
A reply stops the sequence
The moment a customer answers, the automation steps back and the owner is told.
Sending hours and a daily cap
Nothing at 2 am, never twice in a day, and “STOP” is honoured for good.
Or approve each one
Prefer a human in the loop? Every step can wait for a tap from the lead’s owner.
Five looks. Your name on all of them.
Pick the one that suits the customer — a formal industrial tender and a residential rooftop do not want the same document. Your logo, colour and terms stay the same underneath.
Editorial. Clean white pages, numbered chapter headings, navy figure panels. Photos on the cover and back cover.
A theme, or your letterhead
One or the other, never both. Choose your printed letterhead and the document adds no branding of its own — not a quieter version of it, none — so it never prints a second logo and a second colour across stationery that already has its own.
Saved as a template
Standard scope, terms and payment stages, kept as a template so the next quotation starts where the last one finished. Saved templates come in from the Professional plan up — below it you still pick a theme and upload a letterhead on each quotation.

A link they can open and sign.
The quotation goes out as a PDF and as a web page. The customer accepts in their browser — you see when it was opened, and acceptance is what starts everything downstream.
Line items that read like a quotation
The item's name is the heading, with description, SKU and HSN tucked underneath — so a customer reads what they are buying rather than a spreadsheet row.
Or a comparison link
Where a customer is weighing you against other bids, send a page that puts the offers side by side on price, scope and warranty. Accepting from there works the same way.
“I called them” is not an outcome.
Logging a call asks what actually happened, from a fixed list. That one change turns a pile of activity into a connect rate you can manage against.
The list above is the product's own, not an example — every call is filed under one of these.
Flagged for review
Patterns a manager should look at
- An outcome logged at three in the morning
- A “connected” call that lasted four seconds
- Nine calls logged inside two minutes
- The same note pasted onto different leads
Won means something actually happens.
The gap between a signed quotation and a job on the board is where deals quietly stall. Acceptance closes it without anybody retyping the customer.
The quotation is accepted
On the link you sent, in the customer’s own browser.
A customer and a won deal open
At the quotation’s own total, pointing back at the lead — in one step, so a half-converted lead cannot exist.
A project is one click away
Pre-filled from the signed quotation, and linked both ways afterwards.
What people ask before moving their pipeline
Including the two answers that are “it depends on Meta”, because finding that out later is worse.
